About the Role

What’s in it for you? 

We’re looking for a Company Secretary Assistant to work within the Company Secretariat team. The role will predominantly work with the team to manage a growing portfolio of companies in the renewable, property, fibre and healthcare space but also involve tasks across the wider team where exposure to many other parts of the business can be gained. 

The role offers the unique opportunity to work across different types of businesses, industries and board types. This variety will be unrivalled in fast-tracking your learning and developing your skillset. 

The team: 

The Company Secretariat team sits within the Octopus Investments division of Octopus and provides corporate compliance and governance services to Octopus group companies and Octopus managed funds. The team look after a variety of companies ranging from listed VCTs, FCA regulated entities, LLPs etc. that invests in renewable energy, fibre networks, healthcare, property and are exposed to a wide range of activities undertaken in these entities. 

What will you be doing? 

  • Providing support to multiple boards, with tasks that include coordinating Board meetings and drafting agendas, preparing and publishing board papers and updating matters arising following meetings 

  • Supporting on corporate actions and transactions, including board and shareholder approval paperwork, sale and acquisition transaction projects and KYC requests 

  • Completing statutory compliance that includes Companies House filings and updating Diligent Entities and statutory registers with company changes 

  • Providing administrative support to the team with adhoc tasks 


Ideally, you’ll have: 

✅ ICSA part-qualified or looking to start a qualification in the near future

✅ Some experience working in a Company Secretariat team 

✅ Passion for what you do with an aptitude to learn more and provide ideas and suggestions that will make a difference 

✅ Proficient using technology and leveraging digital applications and media platforms such as Microsoft Office, Microsoft Teams, Zoom, Office 365, board pack software (such as Board Intelligence) and entity management software (such as Diligent)
